Overview: The Events & Campaign Assistant, under the guidance of the VP of External Affairs, is responsible for providing professional support in fundraising activities, specifically events and campaigns, including Generous Helpings, Harvest for Hunger, Holiday Cheer, Hunger Action Month and other donor events.

Specific Responsibilities:

Events and Campaigns:

  • Create, organize and maintain all events and campaigns activities and timelines in project management software (Asana) for the EA team.
  • Assist in the planning and logistics of Generous Helpings and donor-centric events including creating timelines and tracking for all event components including collateral materials, catering, working with restaurants, audio/visual, guest lists, etc.
  • Assist in the planning and logistics of major food and fund drive campaigns, including Harvest for Hunger and Holiday Cheer, including creating timelines and tracking for all campaign components including materials, working with grocery store partners, assisting in recruiting companies to campaigns, etc.
  • Coordinate events and campaigns across departments, including working closely with Volunteer Relations team to ensure volunteer support of events & campaigns  and Operations for events that impact warehouse operations.
  • Achieve predetermined goals for funds raised for each campaign and maintain records for income and expenses.

Donor Relations:

  • Set-up major donor activity in project management (Asana) for VP of External Affairs regarding relationship management as appropriate.
  • Ensure an efficient donor-relationship process by learning donor preferences in all categories and recording them in Donor Perfect.
  • As needed during peak volume times, assist donor relations manager in the timely recipient and acknowledgment of  monetary donations.
  • Track campaign and event acknowledgments for both direct mail and digital donations to ensure the sentiment is current and appropriately updated for the campaign.
  • Cultivate group, individual and organizational relationships through meetings, check presentations, facility tours and general communications. 

Administrative Support:

  • Support the administrative needs of VP of External Affairs.
  • Proactively perform general administrative duties such assisting with scheduling meetings, ensuring materials are provided for meetings, making meeting or travel arrangements, monitoring incoming phone calls and taking accurate messages. 
  • Ensure professional communications via email and written letters, along with producing professional documentation.

Meeting & Reporting Requirements:

  • Create, organize and maintain all event and campaign files, including in Asana project management for the EA team.
  • Document post-event or campaign assessment with External Affairs team.
  • Produce monthly and/or weekly update of event and campaign status to be included on the External Affairs Dashboard Report on event and campaign status. 
  • Compile and complete the Monthly External Affairs dashboard with information from each area by the 15th of each month.
  • Report requirements may be more frequent during campaign or event.

General Responsibilities:

  • Uphold the values and mission of Second Harvest at all times.
  • Display courtesy and respect at all times to Second Harvest employees, volunteers, donors, member agencies, and the general public.
  • Maintain confidentiality in all matters pertaining to Second Harvest.
  • Other duties as assigned.

Qualifications:

  • Self-motivated and self-directed, with attention to detail
  • Highly developed oral and written communication skills
  • Excellent planning and organizational skills
  • Excellent Computer Skills, including MS Office (Excel, Word, Outlook)
  • Experience in project management (Asana) and CRM software (DonorPerfect) preferred.
  • Ability to work in partnership with other staff & across departments
  • Valid Driver’s License 

Education /Training:

  • Associate’s Degree or Minimum one (1) Years Equivalent Experience.
  • Certified in CPR/AED & First Aid every two years. (will train)
  • Complete USDA Civil Rights Training for Food Distribution annually. (will train)
